Looking to overhaul how I manage tasks, projects and notes. I have tried Notion, Todoist, Obsidian and a few others over the years but I always fall off them after a few months. Wondering what people here are actually sticking with in 2026 and what made it stick when previous attempts did not. Work context is freelance writing and project management for small clients.

Obsidian with a very simple vault structure is what I eventually landed on after trying everything. The key change was stopping trying to build an elaborate system and instead using it as a plain text inbox that I process once a day. No templates, no databases, just notes in folders. The friction of complex systems is what killed every previous attempt

Reflect is the note-taking app that has been gaining serious momentum in 2026. It uses AI to surface connections between your notes automatically, integrates with your calendar and has a cleaner interface than Obsidian for people who find markdown off-putting. Worth trying if you have bounced off Obsidian

Lazy Sentinel

Todoist for tasks and Obsidian for notes is the combination that works for a lot of freelancers. Todoist handles the what and when, Obsidian handles the why and the context. Keeping them separate rather than trying to put everything in one tool removed the decision fatigue of which tool to use for what

Linear for project management if you are managing deliverables for multiple clients. It is primarily a software tool but the issue tracking and project structure translate well to freelance project management. More structured than Notion and faster to navigate
